Accounts Technician/Assistant

OBJECTIVE

Airtraks Ltd is bringing its financial and management accounts function in-house whilst also developing the capability to support the business as it continues to scale with our customer base.

The position of Accounts Technician/ Assistant is a position reporting to the Financial Controller and plays a key role within the Finance Department currently made up of five team members.

 

MAIN DUTIES & RESPONSIBILITIES

To work as part of the Finance and Accounts team, and to assist the Financial Controller with the following tasks:

  • Reconcile, Process, and Approve Vendor/Supplier invoices within the Account Payable Ledger.
  • Assist in Account receivable function to maintain/improve debtor day and aged debt % targets.
  • Liaise with Vendor manager to ensure vendor rate cards are updated on a timely basis.
  • Assist in preparation of Auditor “preparation by client list” work files for interim/year-end audits.
  • Liaising with other AR/AP team members to ensure accurate billing and payment support where required.
  • Ability to assist and provide holiday cover in the collation of weekly payroll data to support external payroll processing bureau.
  • Any other duties that may be assigned from time to time in line with your skills and competence.

 

QUALIFICATIONS, EXPERIENCE & SKILLS REQUIRED

MINIMUM QUALIFICATIONS, SKILLS AND EXPERIENCE

  • To have at least two years relevant experience working within an office environment.
  • Excellent IT skills, including Office 365 and Microsoft Office.

DESIRABLE QUALIFICATIONS, SKILLS AND EXPERIENCE

  • Are ideally studying towards Accounting Technician qualifications (MIATI)
  • Working knowledge of Sage One (cloud) accounts package or similar cloud financial packages.

KEY COMPETENCIES REQUIREMENTS

This Role

ATC’s Data Centre Installers (DCIs) provide an essential service to our clients across Europe. They work inside our clients’ data centres delivering, positioning, and installing server racks to build their cloud infrastructure. Safety, security and customer service are the priorities for all ATC employees.

The DCI role provides candidates with opportunities to learn and develop. There are pathways to delivery supervisor, cabling technician, or team leader, and training and mentorship are provided. Candidates can also travel with work as part of ATC’s Mobilisation Team.

Role Requirements & Responsibilities

  • Attend clients’ sites on time, with all required equipment, uniform, procedures and documentation, and PPE.
  • Unloading, unpacking with power tools and positioning customers’ IT hardware (server racks).
  • Lifting up to 30-40 kg is required, with occasional exertion up to 50kg (using safe lifting methods).
  • Cabling server racks by patching and dressing fibre and copper cables (in certain regions, and training will be provided).
  • Providing industry-leading customer service levels by acting professionally with clients and colleagues at all times.
  • Following clients’ procedures and requirements, including health and safety, and security.
  • Communicating with colleagues, including managers, planners, team leaders and supervisors, in a consistent, timely, and efficient manner. Reports include arrival times, delays, safety concerns, and completion times.
  • Completing daily checklists and providing reports on daily activities or tasks, including other general administration tasks.
  • Any other duties that may be assigned from time to time in line with your skills and competencies.

Candidate Requirements

The role requires flexibility and adaptability to changing situations and customer requirements, so the candidate must be comfortable working under pressure and on strict timelines. The candidate must be adaptable while performing tasks, ready to change priorities and maintain professional communications with clients, colleagues and vendors. The successful candidate will be required to possess and demonstrate the following:

  • Strong organisational and problem-solving skills, with high levels of attention to detail.
  • Valid class B driving licence with a good driving record.

Transport Planner (Amsterdam)

OBJECTIVE

The position of Transport Planner will work as part of a team which plans, books, monitors and reports on
transport routes across Europe. The role will also involve designated accounts with primary
responsibility.

The ideal candidate will be able to perform administrative tasks efficiently and to a high standard, in accordance
with standard operating procedures. The successful candidate will ensure all queries and requests are dealt
with promptly and professionally. S/he will be responsible for the preparation of documentation, maintaining
files and completing financial transactions.

MAIN DUTIES & RESPONSIBILITIES

GENERAL

• Plan shipments and routes to ensure effective use of resources while meeting our SLA with clients.
• Ensure compliance with EU working time directive and relevant road safety regulations.
• Ensure active monitoring of all shipments in-transit, providing updates to colleagues and customers.
• Ensure all Microsoft milestones are updated as per our SLA.
• Liaise with sub-contractors, overseas offices, and staff to ensure schedules and SLAs are met.
• Liaise with clients, ATC operations, and field teams to ensure service levels are maintained.
• Work closely with clients’ supply chain functions to ensure schedules are met and accurately reported.
• Respond to changing customer demands seamlessly.
• Be responsible for communicating with customers and understanding customer requirements.
• Ensure proofs of delivery / activity are actively managed.
• Plan vehicles and trailer maintenance schedule.
• Planning workloads & reloading for drivers and vehicles ensuring minimal empty running of vehicles.
• Working as part of a planning team with cross-training for colleagues.
• Liaising with accounts team to ensure accurate billing.

• Substantial experience transport planning for 3+ years.
• Experience in the logistics industry, including white glove services
• Excellent written and verbal communication skills.
• Excellent IT skills, including Office 365 and Microsoft Office.
• Full understanding of EU Working Time Directive, Digital Tachograph regulations and other relevant
regulations.
The following qualifications, skills and experience would be an advantage.
• A working knowledge of a European language.
